What to Do When Your Logo Isn't Print-Ready

The most common reason custom merch goes wrong has nothing to do with the printer.

You've got your brand dialed in. The colors are right, the vibe is right, and you're ready to put your logo on something great. You upload the file, hit submit, and a few weeks later the merch arrives — and the logo looks soft. Pixelated. Off. Not quite what you envisioned.

Here's the thing: that problem almost always starts before the order is placed. It starts with the file.

Logo issues are the single most common source of disappointment in custom merch — and they're almost entirely preventable. Here's what you need to know.

Why Logo Files Are More Complicated Than They Look

Your logo might look perfect on a screen. Sharp, clean, exactly the right colors. But what looks great digitally doesn't automatically translate to a physical decoration method — and the gap between "looks good on a monitor" and "prints beautifully on a garment" is where most merch goes wrong.

The core issue is that screens display images very differently than embroidery machines, heat presses, and sublimation printers reproduce them. Screens are forgiving. They can display a blurry image at a small size and make it look passable. A decoration method has no such forgiveness — it reproduces exactly what it's given, at whatever size it's applied.

This means file format, resolution, color mode, and design complexity all matter in ways most people don't realize until something goes wrong.

The Most Common Logo Problems — and How to Fix Them

Problem #1: You only have a JPEG or PNG.

JPEGs and PNGs are raster files — they're made of pixels. At small sizes they can look fine, but when scaled up to cover a large print area or reproduced at production resolution, the pixel grid becomes visible and the image looks soft or blurry.

The fix is a vector file — specifically an .AI (Adobe Illustrator), .EPS, or .SVG file. Vector files are built from mathematical paths rather than pixels, which means they can be scaled to any size — a business card or a billboard — without any loss of quality. If you have a designer, ask them for the vector source file. If your logo was professionally designed, it almost certainly exists in vector format somewhere.

Problem #2: Your logo has a white background baked in.

A logo saved as a JPEG always has a background — usually white — because the format doesn't support transparency. When that file is printed on a colored garment, you end up with a white rectangle around your logo instead of the logo sitting cleanly on the fabric.

The fix is a PNG with a transparent background (for digital proofing) or a vector file (for production). If you're not sure whether your file has a transparent background, open it in a browser — if you see a white box behind the logo, it's not transparent.

Problem #3: Your logo is too detailed for embroidery.

Embroidery is a physical process with physical limitations. Very thin lines, tiny text, complex gradients, and fine detail that looks sharp on screen simply cannot be reproduced accurately with thread. The needle has a minimum size; below a certain threshold, detail becomes a blob.

The fix here isn't necessarily to redesign your logo entirely — it's to create an embroidery-optimized version. Most good logos can be simplified slightly for embroidery without losing their essential character. Thicken the thin lines, simplify the fine detail, convert gradients to solid colors. Problem #4: Your colors are in RGB, not CMYK or Pantone.

Screens display color in RGB — a light-based color model that can produce vivid, saturated hues that simply don't exist in the physical printing world. When an RGB file is converted to a physical print process, those colors shift — sometimes dramatically.

For consistent, accurate color reproduction across decoration methods, your logo colors should be specified in Pantone (PMS) values — the industry standard for physical color matching. If you don't know your Pantone values, a designer or a professional merch partner can help you identify the closest match.

Problem #5: Your logo is low resolution.

Resolution is measured in DPI — dots per inch. Screen images are typically 72 DPI, which is fine for digital display but completely insufficient for print. Production-quality printing requires a minimum of 300 DPI at the final print size — and ideally higher for detailed work.

A logo that's 72 DPI at 4 inches wide cannot simply be "upsized" to 300 DPI — that just makes a larger blurry image. The only real fix is a high-resolution original file or, again, a vector source file that renders at any resolution without quality loss.

Before You Order Anywhere: A Quick Logo Checklist

Run your logo through these questions before submitting to any merch partner:

Do you have a vector file (.AI, .EPS, or .SVG)? If yes, you're in great shape. If no, request one from your designer or consider a logo vectorization service.

Is your background transparent? Open the file and check. A white box means it's not.

Do you know your Pantone color values? If not, ask your designer or look up the closest PMS match to your brand colors.

Is your logo simplified enough for embroidery? If it has very fine lines, tiny text under 4pt, or complex gradients, flag it for review before ordering embroidered items.

Have you tested the logo at actual print size? A logo that looks great at full screen can look very different at a 3-inch chest print. Scale it down and check legibility before submitting.

Don't Have a Vector File? Here's What to Do.

It happens more often than you'd think — especially for small businesses whose logos were designed quickly, built in Canva, or created by a non-professional. If you don't have a vector version of your logo, you have a few options:

Ask your original designer. If your logo was professionally designed, the vector source file should exist and is typically included in the deliverable. Don't be afraid to go back and ask for it.

Use a vectorization service. Tools like Adobe Illustrator's Image Trace, or services like Vector Magic, can convert a high-quality raster image into a workable vector file. Results vary depending on logo complexity.
