Your brand colors look perfect on screen. Here's why they might look different on your merch — and exactly how to make sure they don't.
You've spent real time and real money building a brand identity. The colors are intentional. They're specific. They're part of how your audience recognizes and connects with you — and they show up consistently across your website, your social media, your business cards, and every other touchpoint in your brand ecosystem.
Then your merch arrives. And the navy is a little too purple. The red is a little too orange. The green is slightly off in a way you can't quite articulate but immediately feel.

Why Screens and Garments Show Color Differently
Your monitor displays color using light. Specifically, it uses a color model called RGB — Red, Green, Blue — in which colors are created by combining different intensities of these three light sources. RGB is an additive color model, meaning colors get brighter and more saturated as values increase. Pure white in RGB is all three channels at maximum intensity. The color space RGB can represent is vast — far larger than what any physical printing process can reproduce.
Physical decoration — embroidery thread, DTF inks, sublimation dyes — works with pigment and dye, not light. These processes use subtractive color models, where colors are created by absorbing certain wavelengths of light rather than emitting them. The most common physical color model is CMYK — Cyan, Magenta, Yellow, Key (Black) — which has a significantly smaller color gamut than RGB.
What this means practically: there are colors your monitor can display that simply do not exist in the physical world of ink, dye, and thread. Vivid electric blues. Neon greens. Highly saturated digital purples. These colors look stunning on screen and produce something noticeably duller when translated to a physical decoration process — not because anything went wrong, but because the physics of light and pigment are fundamentally different.

The Pantone System: The Bridge Between Digital and Physical
The solution to the RGB-to-physical translation problem is a standardized color matching system — and the industry standard is Pantone, specifically the Pantone Matching System (PMS).
Pantone is a proprietary color system that assigns a unique numerical code to thousands of specific, physically reproducible colors. PMS 286 C is a specific shade of blue. PMS 485 C is a specific red. PMS 343 C is a specific green. These codes are universal — a PMS color specified in New York will be reproduced identically in Los Angeles, London, or anywhere else in the world, because the system defines not just the color but the precise pigment formula required to achieve it.
For branded apparel specifically, Pantone produces a dedicated swatch system — the Pantone Fashion, Home + Interiors (FHI) palette — calibrated specifically for fabric and textile applications. Because dye on fabric behaves differently than ink on paper, the FHI system accounts for how colors appear on different substrates and under different lighting conditions.
When your brand colors are specified in Pantone values, your merch partner has a precise, unambiguous target to match — regardless of what decoration method is being used. How Color Matching Works Across Decoration Methods
Each decoration method has its own color matching characteristics — and understanding them helps set accurate expectations for what's achievable on each.
Embroidery Embroidery thread is produced in a finite set of colors — Madeira, Isacord, and other major thread manufacturers offer thousands of colors, but the palette is still discrete rather than continuous. This means embroidery color matching is always a closest-match exercise: finding the thread color that most accurately represents the specified Pantone value.
For most brand colors, the match is very good — close enough that the difference is imperceptible in normal viewing conditions. For highly saturated or unusual colors — neon, metallic, very specific custom mixes — the match may be approximate rather than exact.

DTF Transfers DTF printing uses CMYK-based inkjet inks that can reproduce a wide range of colors with high accuracy. For most standard brand colors — especially those in the mid-saturation range that falls within the CMYK gamut — DTF color matching is excellent.
For highly saturated colors at the edges of the CMYK gamut — certain electric blues, vivid oranges, neon colors — DTF may not fully hit the target. Sublimation Sublimation uses dye rather than ink, producing color that fuses with fabric fibers at a molecular level. The result is exceptional color vibrancy — sublimation is capable of producing the most saturated, photorealistic color of any common apparel decoration method.
However, sublimation has a critical substrate dependency: it only works on white or very light-colored polyester. The dye is semi-transparent, which means it's tinted by the base color of the fabric beneath it. A sublimation print on a white base looks exactly as designed. The same print on a light grey base has a grey cast. On a colored base, the colors shift significantly.

The Garment Color Variable
Here's a color matching consideration that catches many clients off guard: the base color of the garment itself affects how decoration colors appear — even with precise Pantone matching.
A white embroidered logo on a navy garment and the same white embroidered logo on a black garment will appear slightly different because the eye perceives colors differently against different backgrounds. A red DTF print on a white shirt looks more vivid than the same red on a light grey shirt because the grey base slightly desaturates the surrounding visual field.

What To Do Before Your Next Merch Order
The practical upshot of everything above is a short checklist that transforms your color matching outcomes before you place a single order:
Know your Pantone values. If your brand guidelines don't include PMS color specifications, get them. Your original designer should have them — or can identify the closest Pantone matches to your brand colors. This is the single most impactful thing you can do to improve color consistency across all branded materials, not just merch.
Provide both RGB and Pantone values to your merch partner. RGB for digital proofing and mockup generation. Pantone for production color matching. Having both allows your merch partner to calibrate the proof accurately and match the production output to the physical standard.
Understand the gamut limitations of your chosen decoration method. If your brand uses highly saturated colors, ask your merch partner upfront whether those colors fall within the reproducible range for your chosen decoration method. Better to know before the order than after.
Approve the proof on the actual garment color. Never approve a proof on a white background if the garment is navy. The proof should represent the finished product as accurately as possible — in the right colorway, at the right placement, on the right blank.
Request a physical sample for high-stakes orders.
